Understanding Staff Onboarding

Overview of onboarding tasks, roles and statuses in Care Diary

Staff Onboarding helps new and existing team members complete the details Care Diary needs before they work: personal information, payroll details, required documents, and availability.

Until onboarding is finished, staff complete tasks in My Onboarding on the website or in the Care Diary app. Administrators start onboarding and track progress from the staff profile.

What onboarding covers

Tasks usually appear in this order:

  1. Personal details

  2. Emergency contact

  3. Bank details

  4. TFN Declaration

  5. Superannuation

  6. Documents (only if your organisation requires document types for that person)

  7. Availability

If information is already on the profile, Care Diary can mark matching tasks as complete when onboarding starts.

Statuses

  • Not started — Onboarding has not been started for this staff member.

  • In progress — The staff member has started completing tasks.

  • Awaiting completion — Required tasks are done. The staff member still needs to select Finish onboarding.

  • Completed — Onboarding is finished.

Onboarding is for initial completion only. Later profile changes or document expiry do not reopen onboarding.

Who does what

  • Administrators with staff profile access can start onboarding, review progress, and send reminders.

  • Staff members complete My Onboarding on the website or in the mobile app.
