Care Diary allows you to store and manage your participant documents efficiently. You can create document categories and types dynamically as per your business needs. You can also set an expiry date for the relevant documents and Care Diary will notify you before those documents expire. So let's get started:
Create document categories and add document types
Log in to the Care Diary login page and go to Settings using the left menu. Under the Compliance & Records section, click on Participant Documents.
Click on the + Add Category button located at the top right corner.
Enter the category name and add document types under that category. You can add multiple document types by clicking on + Add More, mark documents as required if needed, and choose to make the category confidential. Once completed, click on the Create button.
Add participant documents
Go to Participants using the left menu and open the participant profile by clicking on the edit (pencil) icon for the participant.
From the participant profile, click on the Documents tab in the left panel. Then click on the + Add button located at the top right corner.

βUpload the document by clicking or dragging the file into the upload area. You can also add notes and set an expiry date if required. Once completed, click on the Create button.
View reports
Go to Reports using the left menu. Under the Document Compliance section, click on Participant Documents.
You will be able to view the Participant Document Status, including Valid, Expiring Soon, Expired, and Missing documents. You can also use the filters (Participant, Category, Status) to refine results and view detailed records in the Documents Register section.
